- Approval: Submitted to Admin, then to District Office minimum 4 months prior to departure - Destination: Outside of Canada - Length of Field Trip: Greater than one day - This field trip requires a high risk consent form to be signed by parents/guardians - Supervision ratio: K- Grade 3 (minimum ratio 1:8) | Grades 4-7 (minimum ratio 1:10) | Grades 8-12 (minimum ratio 1:12)
If you are using any of the above organizations, the approval process will be much quicker. Tours with companies not listed may still be used, but approvals may take longer.

A criminal record check is required for all adults (non-district staff) wishing to volunteer on overnight trips. Has this been discussed with your Admin?
* There must be both male and female supervisors if male and female students are involved.

*Before booking transportation, check with school Admin to be certain that the carrier has been sanctioned by the School District for safety certification and liability coverage. See list of regulations here.

Please attach a draft copy of the information letter for parents describing the field trip. This letter must include detailed information regarding the purpose of the trip, cost of the trip, mode of transportation, accommodation arrangements, special clothing requirements, meal arrangements, scope of supervision for the trip, and student behavioural expectations.
Include costs for items such as accommodation, transportation, meals and admissions fees.
