The re-qualification period for September 2024 enrolments is May 13 to June 27, 2024. All students who have re-qualified will be notified by email on June 28, 2024.

If families fail to upload the appropriate documents by June 27, students will be withdrawn from their current school for the 2024-2025 school year. 

Students who have submitted registration requests for Summer Learning must complete re-qualification before Friday, June 14 in order to be enroled for classes in July.

Re-qualification

Each spring, West Vancouver Schools conducts a re-qualification process for students who are currently attending school under one of the Fundable Admissions categories: Diplomat, Refugee, Study Permit, and Work Permit.

Diplomat

The student’s parent is carrying out official duties as an accredited diplomatic agent, preclearance officer, consular officer, or official representative in Canada of a foreign government with a consular post in British Columbia or under the authority of the Visiting Forces Act.

There are two steps to the re-qualification process – prepare and share.

Prepare

Prepare the two documents listed below. They must be:

  1. Scanned in colour
  2. PDF or JPEG format
  3. Less than 5MB each
  4. Re-titled according to the naming conventions listed in the File Name column.

Diplomatic appointment letter  A letter must be issued by the embassy or consulate stating the visa holder is continuing their appointment for 2024-2025.  ALD.YYYY.MM.DD where the year, month, and day is the date printed on the letter.

  8. Now, you may click the “Choose file” button to select the document you wish to upload. If you select the incorrect document, you may click the red X to the right of the document name to delete it. 
  9. Once the document is properly selected, click “Upload Share Document”. 
  10. Repeat as needed to upload all the required documents.

Re-qualification Instructional video for Refugee families

Refugee 

The student and/or parent resides in British Columbia and has a Refugee Protection Claimant Document. 

There are two steps to the re-qualification process – prepare and share.  

 Prepare 

Prepare the document listed below. It must be:

Re-qualification Instructional video for Study Permit families

Study Permit 

A parent has been lawfully admitted to Canada and is authorized to study for a period of one year or more and one of the following applies: 

  1. The parent is enrolled in a degree or diploma programme at a public post-secondary institution in British Columbia. 
  2. The parent is enrolled in an approved degree programme at an EQA approved private post-secondary institution in British Columbia. 

 There are two steps to the re-qualification process – prepare and share.  

Prepare 

Prepare the two documents listed below. They must be: 

  1. Scanned in colour 
  2. PDF or JPEG format 
  3. Less than 5MB each 
  4. Re-titled according to the naming conventions listed in the File Name column. 
 
Type of Document  Requirement  File name 
Study Permit of primary parent  Colour scan of original document. The Study Permit must be valid for one year or longer and should have an identified institution and program of study.  STP.YYYY.MM.DD where the year, month, and day is the expiry date of the Study Permit. 
Timetable  Proof of enrolment in full-time studies (three full-credit courses or more).  TBL.YYYY.MM where the year and month are the first month of the semester. 
Fees receipt  A receipt on institution letterhead proving full fees paid have been paid for the program in 2024-2025. Deposits or payment plans are not accepted.  POT.YYYY.MM.DD where the year, month, and day is the date fees were paid in full.

Re-qualification Instructional video for Work Permit families

Work Permit 

A parent has been lawfully admitted to Canada for temporary residence and will work full-time (35 hours a week or more) for a period of one year or more. 

There are two steps to the re-qualification process – prepare and share.  

Prepare 

Prepare the two documents listed below. They must be: 

  1. Scanned in colour
  2. PDF or JPEG format 
  3. Less than 5MB each 
  4. Re-titled according to the naming conventions listed in the File Name column. 
Type of Document  Requirement  File name 
Work Permit of primary parent  The Work Permit must be one year or longer and should have identified employer.  WKP.YYYY.MM.DD where the year, month, and day is the expiry date of the Work Permit. 
Letter of employment  The letter must be addressed to Fundable Admissions and dated within two weeks of uploading date. 

The letter should include details such as the job title, confirmation of fulltime status, description of responsibilities, term of work, wage, and be signed by a company official.   

Earnings must be minimum wage or greater.  

Full-time employment is considered to be thirty-five or more hours per week.

EML.YYYY.MM.DD where the year, month, and day is the date the letter was issued by the employer.
Proof of wages  If the primary parent was employed in 2023, they must submit a T4 form issued by their employer or  a Notice of Assessment issued by Canada Revenue Agency. Wages must show full-time employment at minimum wage or higher. 

If the primary parent began their employment in 2024, they must submit their three most-recent paystubs from March, April or May 2024 showing full-time employment at minimum wage or higher. 

If the document is a T4 form:

If the document is three paystubs: 

 

PAY.YYYY.MM.DD where the year, month, and day is the date of the latest paystub. 

Self-employed or Start up Visa (SUV) program only  The primary parent must submit 2023 business tax documents, year-end statements, or three consecutive bank statements showing the business is a going concern. If these are not available, please submit an explanatory letter from company accountant why such tax documents are not available.   If the document is a Notice of Assessment or related tax document:
