Application Procedures

Required documents

1.Record of grades

• Also called transcripts or report cards
• Records must be translated into English.
• Upload transcripts or report cards for the last two years.
• Save as one PDF or JPEG file (all pages combined).
• File must be less than 5MB in size.

 

2. Passport photo page

• Upload the passport photo page
• If the applicant does not have a passport, upload a government photo identification.
• This helps us confirm the applicant’s information for accurate documents and communication.

3. Student’s letter of intent

• Not required for elementary school applicants.
• A secondary school applicants should write a letter explaining:

1. Why they want to study in Canada and at West Vancouver Schools.
2. Their past studies.
3. Their interests and hobbies.
4. Their future goals.

• If the letter is more than one page, scan all pages together as one document.
• See Example 1 and Example 2 for different types of letters.

4. Applicant introduction video *NEW*

• For full instructions on how to submit a strong introduction video, please visit here.

1. Mandatory for students applying to the homestay program.
2. Optional for Grade 8–12 students not applying for homestay.
3. Not required for elementary school applicants.

• How to Upload Your Video:

1. Fill out the Applicant Introduction Video form (include your name, school, and email).
2. You will immediately receive an upload link by email. If you don’t see the email, check your spam folder.
3. Use the link to upload your video.

5. Photo Album

• A photo album is required for students who will live in the homestay program.
• A photo album is optional for students who will live with their parents or do not need to join our homestay program.
• Create a 1–2 page collection of photos showing your family, city, hobbies, travels, and daily life.
• Scan the entire album as a single PDF or JPEG file (under 5MB) before uploading.

6. English language exam

• Upload one of the accepted exam results with your application.
• Only required for students applying for Grade 10 and 11 -and- planning to graduate from West Vancouver Schools.
• Not required for:

1. Elementary applicants.
2. Secondary applicants staying one semester or one year only.

• To take the CMGE test, email Michael Frankowski (mfrankowski@wvschools.ca).

1. The CMGE test can be taken online with immediate results.
2. A $100 test fee will be added to your application fee.

7. Student Pledge *NEW*

• The Student Pledge is required for all secondary students (not for elementary students).
• Download the Student Pledge (fillable PDF).
• Read and initial each section (legal responsibilities, respect, attendance, academics, and homestay rules).
• Sign and date the form at the end.
• Save the signed pledge as a PDF or JPEG (under 5MB).
• Upload it with your online application.

8. Legal Agreement

• The applicant and their parent must sign the agreement.
• Before starting the application:

1. Download the International Student Legal Agreement 2026.
2. Sign in ink (no digital signatures).
3. Scan as a PDF or JPEG file.

Recommended documents

We recommend collecting the following documents before you apply. These documents help us make an admission decision if we need more information.

1.Letter of Recommendation

• A teacher, school counsellor, or Headmaster/Principal should write a letter on school letterhead.
• The letter must identify the student and highlight their strengths.
• If the letter is longer than one page, scan all pages together as one document.

 

2. Custodian Document

• If the applicant is not joining our homestay program or using our free custodianship service, they must appoint a custodian.
• The custodian must be a Canadian citizen or Permanent Resident, over 25 years old, and living full time in the Vancouver area.

 

3. Other Documents

• If you have other documents related to admission, such as a student interview form, please upload them as a single document.
